We collect information that identifies, relates to, or could reasonably be linked to you or your Participants:

  • Account and User Information: When you register, we collect your name, email address, and company details.
  • Payment Information: We use Paddle.com as our Merchant of Record. All payment and billing information (such as credit card details) is collected and processed securely by Paddle. We do not store your full credit card information on our servers.
  • Calendar and Integration Data: To schedule meetings, you must grant us OAuth access to your calendar (e.g., Google Calendar, Microsoft Outlook). We only read your availability (free/busy times) and create new events. We do not read or store the private contents, descriptions, or attendees of your existing non-Bazman calendar events.
  • Participant Data: When you request the AI to schedule a meeting, we collect the Participant’s phone number (for WhatsApp/SMS communication via our providers) and their name.
  • Communication Data (AI Transcripts): We process the chat messages exchanged between our AI assistant and your Participants strictly to understand their intent, find an agreed-upon meeting time, and provide the Service.

2. How We Use Your Information

We use the collected information strictly to operate, maintain, and provide the Service, specifically to:

  • Initiate and manage WhatsApp conversations with Participants based on your instructions.
  • Analyze natural language replies to determine scheduling availability.
  • Create calendar events and send automated invitations.
  • Process subscription payments and manage your credits through our reseller, Paddle.
  • Provide customer support and send important service updates.

3. Third-Party Service Providers (Data Sub-processors)

To provide our AI and communication features, we share necessary data with trusted third-party providers. We ensure these providers have strict data protection standards:

  • Large Language Models (LLMs): We use third-party AI APIs (e.g., OpenAI, Anthropic) to process conversational intent. Important: The data processed through these APIs is strictly used for fulfilling your scheduling requests via their enterprise APIs and is not used to train their public foundation models.
  • Communication Platforms: We use third-party infrastructure providers such as Twilio and Meta (WhatsApp Business API) to route, send, and receive messages to and from Participants.
  • Payment Processors: As mentioned, Paddle acts as our reseller and processes all financial transactions.

4. Data Sharing and Disclosure

We do not sell, rent, or trade your personal data or your Participants' data to third parties for marketing or advertising purposes. We may disclose your information only to comply with legal obligations, regulatory requirements, or respond to lawful court orders, and to enforce our Terms of Service or protect the rights, property, or safety of Paka Technologies Ltd., our users, or the public.

5. Data Security and Retention

We implement industry-standard security measures, including encryption in transit and at rest, to protect your personal information. We retain your account data for as long as your account is active. WhatsApp chat logs and scheduling transcripts are retained only for a limited period necessary to ensure the meeting is successfully scheduled, provide conversation context, and resolve any immediate support inquiries, after which they are routinely purged or anonymized.

6. Your Data Rights

Depending on your jurisdiction (such as under the GDPR or CCPA), you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and personal data ("Right to be Forgotten").
  • Revoke calendar access at any time directly through your Google Workspace or Microsoft account security settings.
